This is a year-round full-time position and will report to the Director of Technology. The duties listed below are representative of the general duties of the role and are not an exhaustive list, as additional duties and responsibilities may be assigned.

Reports To: Director of Technology

Description

The Registrar & Systems Administrator coordinates and maintains the school’s data information and is the main point of contact for all Systems. Tracks issues and support between departments and Systems to ensure timely completion of tasks and system set-up. Serves as custodian of student information and records including collection, maintenance, archiving and release of student records. Efficient and effective operations within the division office as it relates to systems and transcript, grade, and other academic records, works directly with division administration to support scheduling, and other system oversight. Performs additional duties as assigned by the Head of School or Director of Technology.

Database Systems Administrator Responsibilities

· Manage and support the Student Information System (SIS) and other databases. Troubleshoot user problems, manages user access, and ensures data security.

· Design, build, and maintain reports using data from the SIS and other systems to help the school make data-driven decisions.

· Research and analyze data related to students and school operations, assist departments with data-related needs, historical analysis and trends, and presents findings to support decision making.

· Ensure the accuracy and consistency of data across all systems.

· Facilitates data integration; creates data extracts and connections between different databases to allow for smooth data flow.

· Provide support to users of the SIS and other database systems, including training on how to use them.

· Monitor the SIS and other database systems for issues and track them until resolved.

Registrar Responsibilities

· Manages student data lifecycle; collects and maintains data in the Student Information System (SIS); archives, and releases documents (report cards, transcripts, attendance, etc.).

· Manages, creates and secures student records on all formats (electronic or otherwise), audits accuracy, and disposes of records properly ensuring compliance.

· Supports school administrators and performs tasks associated with enrollment, withdrawals, and parent communications.

· Maintains the master calendar on school information portals.

· Demonstrates initiative, performs administrative support to assignments with minimal direction.

· Demonstrates professionalism in interactions with faculty, staff, parents, and visitors while maintaining security and confidentiality.

· Assists with the planning and preparation of staff training on all data systems.

Qualifications

· A minimum of five years of experience in a similar position; independent school experience preferred.

· Proficient in current version of Veracross, Blackbaud, MS Office including Excel, Word, Outlook, and PowerPoint, internet functions and database management.

· Working knowledge of current version of MSSQL Server or Oracle SQL with the ability to design queries for data extraction and data maintenance.

· Ability to think and plan strategically and creatively.

· Ability to supervise and manage multiple functions and activities.

· Ability to remain calm, flexible, and work effectively under pressure.

· Ability to work effectively as a team member.

Physical Requirements and Work Environment

· Ability to lift up to 35 pounds.

· Ability to work outdoors and in a climate-controlled environment.

· Ability to be mobile up to 8 hours per day.

· Visual acuity both near and far.

· Stooping, bending, kneeling, standing, walking, reaching, grasping, pushing, and pulling.

Compensation

· Anticipated salary is $80,000.00- $90,000.00, depending on education and experience
